Bookings

Bookings gives each person and team in your company a public booking page. Invitees pick a time that suits them without signing in, and the slot is only offered if the host is actually free: People holidays, approved leave, other bookings and connected calendars all block time. Confirmed bookings can create a Sangam video room, a CRM lead, a note on a Support ticket or a Books invoice.

Who uses it

  • Host: any internal member. Hosts set their schedules, connect calendars, create event types and manage their own bookings.
  • Bookings admin: manages company branding, teams, managed team events, routing forms, reminder workflows and reports for everyone.
  • Recruiters, support agents and company secretaries: send scheduling links for interviews, callbacks and board meetings from their own apps.
  • Invitee: someone outside the company who books, reschedules or cancels from a link.

Before you start

  • Your company is set up in Thoshika and Bookings is switched on for it.
  • Hosts are members of the company. A Bookings admin role is needed only for company-wide settings.
  • For Google or Microsoft calendar sync, your administrator registers the company's own Google Cloud OAuth client or Microsoft Entra app and sets the credentials. Without them, hosts can still use a secret ICS address for busy times and subscribe to their own Thoshika calendar feed.
  • Guest video for outside invitees needs Sangam's meeting service to be reachable. Otherwise use phone, in-person or a pasted meeting link.
  • Optional: People (holidays and leave), CRM, Support, Books and Sangam for the integrations below.

Set up

  1. Branding. As an admin, add the company logo, accent colour, welcome text and privacy notice for booking pages.
  2. Your host profile. Each host sets a page slug, title, time zone and whether they are accepting bookings.
  3. Schedules. Create a weekly schedule (several intervals per day are allowed) and add date overrides for days with different hours. People holidays and approved leave are applied automatically.
  4. Calendars. Connect Google Calendar or Microsoft 365 and choose which calendars to check for conflicts and which one receives new bookings, or paste a secret ICS address.
  5. Event types. Create your first event: kind, durations, location options, questions, buffers, notice, limits and booking window.
  6. Teams (optional). Group hosts into teams, such as Sales, with their own page and round robin or collective events.
  7. Reminders. Review the default workflows: invitee reminders before the meeting, a host reminder, a thank-you follow-up and a no-show email.
  8. Share or embed. Copy your page link, or copy the embed script for your website.

Key workflows

Take bookings for sales demos

  1. Create a round robin team event with the purpose set to sales demo and add your sales hosts, with priorities or weights.
  2. Embed the event on your website or use it on a Marketing landing page.
  3. When a visitor books, the host with the best claim to the slot gets it, a video room is created, and with CRM on the visitor is matched to or created as a lead with a meeting logged on the deal.

Route visitors to the right event

  1. Create a routing form with qualifying questions.
  2. Add rules that send each answer pattern to an event, a URL or a message, plus a fallback.
  3. Answers carry into the booking, and a CRM lead can be created on submission.

Schedule an interview or a callback

  1. From Recruiting in People, a recruiter picks an application and a panel event; the candidate receives a single-use link and the booking creates the interview round.
  2. From a Support ticket, an agent sends a callback link; the booking adds a note to the ticket.

Find a time with a group

  1. Create a meeting poll with a few proposed times and share the link.
  2. Invitees tick the times that suit them.
  3. Book the time with the most votes.

Manage a booking

  1. Open the booking from your list or calendar view.
  2. Confirm or decline it if the event needs confirmation, reschedule it, cancel it with a reason, or mark a no-show.
  3. Invitees receive updated calendar invitations, and no-shows get a rebook link.

India specifics

  • Hosts and pages default to IST, with Indian time zones listed first in the picker.
  • State holidays from People, such as Diwali, Pongal or Onam, and approved leave block slots without any extra setup.
  • Phone numbers are validated as +91 by default; other country codes are allowed.
  • "Pay later" events raise a GST invoice through Books on confirmation, with the place of supply taken from the customer's state. No payment is taken on the booking page.
  • The booking page shows your privacy notice, and admins can erase an invitee's details for the DPDP Act.

Works with other apps

  • People: holidays, leave and Recruiting interview scheduling.
  • Sangam: video rooms for bookings, with guest join for invitees.
  • CRM: leads, contacts and meeting activities on deals.
  • Support: customer callbacks linked to tickets.
  • Books: GST invoices for priced events.
  • Marketing: booking blocks on landing pages and bookings as journey triggers.
  • Company Compliance: finding a common free slot for directors' board meetings.
  • Field Service: letting customers book an on-site visit.
  • The mobile app lists upcoming bookings, lets hosts join, share their link and switch bookings on or off.
