Quick start
This guide takes a new company from the first sign-in to people using their first app. You need to be the company administrator. Plan for about an hour, longer if you are importing data.
1. Sign in and check your company
Your company workspace is created when you sign up or when the Thoshika team sets it up with you. At sign-up you give your company name, head office state and city, and choose where to start, for example People, Books or all apps.
- Sign in at the address in your welcome email with your work email and password.
- Add a passkey when Thoshika offers it. You can then sign in with your fingerprint, face or device PIN.
- Open Admin, Settings and check the company details: company name, email domain, time zone, currency and the primary country pack (India for Indian companies).
- Add your logo so it appears on payslips, invoices and other documents.
2. Set up the organisation
The organisation structure is used by every app, so set it up before inviting people.
- In People, add your legal entities and locations, with their states. The state of each location decides professional tax, labour welfare fund and holidays for the people who work there.
- Add departments or other organisation units, and grades if you use them.
- If you use Books, add each GST registration (GSTIN) with its state and branch.
3. Bring in your people and data
You can add people one by one, but most companies import them.
- Open Admin, Data migration.
- Choose the source, such as Keka, greytHR, Darwinbox, Zoho People or a spreadsheet, and upload the export.
- Check the suggested column mapping, then run a dry run. Nothing is saved, and you get a list of rows that would be rejected, with reasons.
- Fix the rejected rows in your file, run the dry run again, and import.
The same tool imports accounting data from Tally, Zoho Books and QuickBooks, and CRM data from Zoho CRM, HubSpot and Salesforce. See data migration.
4. Invite people and assign roles
- Open Admin, Users and security and choose Invite user, or invite employees in bulk from People.
- Give each person the roles they need. Everyone who works for the company is an employee and can use self-service. Add app roles on top, such as HR administrator, payroll administrator, accountant or sales representative.
- Limit roles to a scope where it helps, for example an HR partner for one location or a bookkeeper for one GSTIN.
- If your company uses Microsoft Entra ID, Google Workspace, Okta or another identity provider, set up single sign-on before you invite everyone.
5. Review approvals
Open Admin, Business processes to see each approval process, such as leave, expense claims and purchase requisitions, with its steps. The defaults (usually the manager, then a role) work for most companies. Change steps, reminders and delegation if you need to.
6. Start using the apps
- Read the guide for each app you have switched on. Each one lists the first-time setup steps for that app.
- Ask employees to install the mobile app for attendance, leave, payslips and approvals.
- To add apps for your company, contact your account manager or write to [email protected].
